About the Role
William Smith Fireplaces is seeking an organized, dependable, and detail-oriented Accounting Operations Coordinator to support the daily financial operations of our growing Charleston business.
This is an early-career opportunity for a recent graduate who wants hands-on experience in accounting, accounts receivable, customer billing, construction operations, and business process improvement.
You will work directly with the company owner and Business Systems & Automation Engineer. You will learn how financial information moves through a real business and gradually take ownership of important accounting processes.
What You Will Do
- Review incoming customer payments and open balances.
- Assist with deposits and payment documentation.
- Apply and verify payments in Striven, our business management system.
- Prepare and issue customer invoices.
- Research payment, billing, and account discrepancies.
- Maintain accurate customer, job, and billing information.
- Process and track Certificate of Insurance requests.
- Organize invoices, receipts, statements, and accounting records.
- Respond to routine customer requests for financial documents.
- Assist with account reconciliations and reporting.
- Maintain checklists and procedures for recurring accounting work.
- Communicate unusual issues or discrepancies to leadership.
Responsibilities After Training
Once you understand our customers, projects, and billing procedures, you will begin assisting with:
- Customer collections and overdue account follow-up.
- Aging reports and payment reminders.
- Documentation of collection activity and customer commitments.
- Resolution of billing disputes and missing information.
- Partial and final project billing reviews.
- Review of contracts, estimates, change orders, payments, and invoices.
- Identification of missing charges or incomplete project documentation.
- Project and construction accounting support.
What We Are Looking For
- Bachelor’s degree or expected bachelor’s degree in accounting, finance, business administration, economics, or a related field.
- Strong attention to detail.
- Comfort working with numbers, spreadsheets, and business software.
- Professional written and verbal communication skills.
- Ability to organize multiple responsibilities and follow through.
- Willingness to ask questions and learn unfamiliar processes.
- Ability to recognize when information does not appear correct.
- Responsible handling of confidential financial information.
- Interest in small-business operations and professional growth.
Experience with construction, fireplaces, or Striven is not required. Training will be provided.
